Join our team as our “Team Assistant” and support our People, Culture & Organization Manager in helping the company to operate smoothly, effectively & efficiently by ensuring that the necessary processes & structures are in place and the necessary people & resources are available for the company to achieve business goals & objectives.

Your Role & Responsibilities

 

In this role, you will be responsible for:

 

  • playing your part in a well-functioning back office including:
    • being one of our first points of contact on the phone (assuring reception, not support),
    • ordering supplies,
    • coordinating the logistics of meetings (calendar appointments, minutes, set up, room booking…) and guest visits,
    • travel organization for our team (bookings, insurances, travel expenses, visa…),
    • supporting the organization of internal & external events;

 

  • supporting HR processes as well as activities related to meeting our regulatory requirements or securing funding

 

  • assisting in the development of our internal communication, as well as the elaboration of our internal written processes;

     

  •   bringing structure to document management (mail handling, scanning, indexing, filing documents physically & electronically);

 

 Your Profile

o   Ideally Mo, Tue, Wed, Thu & Fri., start at the earliest possible date

 

  • You are an enrolled student or you can work part-time (20 hours per week) and you are interested in Human Resources, internal & external communication and administration.
  • Previous experience as Admin Assistant or in a Human Resources position would be an advantage.
  • You have excellent communication skills and understand how to handle confidential information. A strong command of English and German (at least C1 level, both written and spoken) is required, as well as excellent phone communication skills.
  • Basic PC skills and an advanced knowledge of Microsoft 365 (Outlook, Teams, OneDrive, SharePoint, Word, Excel, and PowerPoint), will round out your profile. You should be at least able to format text in Word and use standard formulas in Excel.
